Understanding the challenge
Traditional school councils often rely on a small number of elected representatives meeting periodically to discuss issues on behalf of their peers.
While well intentioned, this approach can leave many pupils feeling disconnected from decision-making and limit opportunities for wider participation.
Smart School Councils Community had developed an alternative model that involved every pupil in the school. Their approach supports democratic participation, collaboration, and student voice while helping schools meet requirements around British Values, SMSC, and Prevent.
Initially, schools delivered class meetings using Google Forms. While this worked in the early stages, it became increasingly clear that a purpose-built platform would be needed to support growth, improve the user experience, and provide better insights into how schools were engaging with the programme.Designing for participation at scale
The success of the platform depended on making participation simple for both teachers and pupils.
Class meetings needed to be easy to facilitate, discussions needed to be structured, and voting needed to feel accessible regardless of age group or technical ability.
Working closely with SSCC, we designed a platform that guided classes through discussions, captured pupil feedback, and enabled collective voting on school-wide topics.
The experience was intentionally straightforward, reducing administrative effort for teachers while ensuring pupils could focus on the discussions themselves.
The goal was not simply digitising an existing process but creating a better experience for democratic participation in schools.Supporting schools with meaningful data
One of the key limitations of the previous Google Forms approach was the lack of tailored reporting.
SSCC wanted to better understand how schools were using the programme, identify patterns of engagement, and support schools that might need additional assistance.
We developed custom analytics and reporting capabilities that allowed the organisation to track metrics such as meeting frequency, participation levels, and class activity.
These insights helped SSCC understand the impact of the programme while providing a stronger foundation for future growth and development.
Building a platform that could grow
As a growing charity, SSCC needed a solution that could evolve alongside the organisation.
The platform was designed to support increasing numbers of schools while remaining easy to use and maintain. Flexibility was important, allowing new meeting formats, discussion topics, and reporting requirements to be introduced over time.
By creating a bespoke application rather than continuing to rely on off-the-shelf tools, SSCC gained far greater control over both the user experience and the data generated by the programme.Outcome and impact
The class meeting tool helped transform how schools implemented Smart School Councils.
By making participation easier, discussions more structured, and voting more accessible, the platform enabled more pupils to have a meaningful voice in decisions affecting their school communities.
The tool is now used by schools across the country, helping young people learn how to engage with democratic processes, collaborate with their peers, and contribute positively to school life.
Most importantly, the platform supported SSCC's mission of ensuring that every pupil, not just a select few, has the opportunity to be heard.
